Shipping Integration

RTC Collector integrates with Shippo to provide real-time shipping rates, label generation, tracking, and address validation. This makes shipping marketplace items straightforward and professional.

The platform uses Shippo API for:

  • Real-time carrier shipping rates
  • Shipping label generation (PDF, PNG, ZPLII)
  • Package tracking across multiple carriers
  • Address validation
  • International customs documentation
  • Return label generation
  • Pickup scheduling

For Buyers

Viewing Shipping Estimates

Shipping estimates appear on listing pages before you buy.

Setting Your Location:

  1. Go to SettingsMarketplace
  2. Add your shipping address (street, city, state/province, ZIP, country)
  3. Save settings

Estimates Show:

  • Carrier name (USPS, UPS, FedEx, DHL, etc.)
  • Service level (Ground, Express, Overnight, etc.)
  • Estimated delivery days
  • Shipping cost

Estimate Accuracy

Estimates are approximations based on:

  • Your saved ZIP/postal code
  • Seller's location
  • Package dimensions from listing

Final shipping cost calculates at checkout with your exact address. It may differ slightly from the estimate.

Estimate Caching

Estimates cache for 30 minutes in your browser. If you see outdated rates, wait 30 minutes or clear browser cache to refresh.

No Estimates Available

If "No shipping options available for your location" appears:

  • Seller may not ship to your country
  • Package dimensions missing from listing
  • Carrier doesn't serve your area
  • Contact seller to ask about shipping

For Sellers

Package Dimensions

Accurate dimensions are critical for shipping rates.

When Creating Listings:

  1. Measure your package (not the item)
  2. Enter weight in kilograms or pounds
  3. Enter length, width, height in centimeters or inches
  4. System calculates shipping rates based on these dimensions

Measuring Tips:

  • Measure the box or envelope you'll use, not the item itself
  • Add padding space (bubble wrap, packing peanuts)
  • Round up to next whole number if between sizes
  • Weigh with packing materials included

Getting Real Shipping Rates

During listing creation or bulk listing:

  1. Enter package dimensions (weight, length, width, height)
  2. Click Get Real Shipping Rates
  3. View rates from multiple carriers
  4. Select a rate to use that cost in your listing

This uses real carrier rates based on:

  • Your location
  • Sample destination (typically mid-country)
  • Package dimensions
  • Current carrier rates

Shipping Methods

Choose from:

Standard Shipping:

  • Economy ground service
  • Lowest cost
  • Slower delivery (5-7 days typical)

Expedited Shipping:

  • Faster ground or air service
  • Mid-range cost
  • 2-3 day delivery

Overnight Shipping:

  • Next-day air service
  • Highest cost
  • 1-day delivery

Local Pickup Only:

  • Buyer picks up in person
  • No shipping cost
  • No tracking needed

Option 1: Use Real Rates

  • Most accurate
  • Requires package dimensions
  • Updates with carrier rate changes

Option 2: Flat Rate

  • Fixed cost regardless of destination
  • Simpler for buyers
  • You absorb cost differences

  • Set shipping cost to $0
  • Build cost into item price

International Shipping

Enabling:

  • Check "Offer International Shipping" when creating listings
  • Requires customs declaration for shipments outside your country

Customs Types:

  • Merchandise - Items for sale

Incoterms (who pays customs):

  • DDU (Delivered Duty Unpaid) - Buyer pays customs (most common)
  • DDP (Delivered Duty Paid) - Seller pays customs

Shipping Labels

After a sale completes and buyer pays:

Creating a Label:

  1. Go to TransactionsActive
  2. Find the transaction
  3. Click Create Shipping Label
  4. Select carrier and service level
  5. Choose label format (PDF, PNG, or ZPLII)
  6. Download label

Label Formats:

  • PDF - Print on standard printer (8.5" x 11" or A4 paper)
  • PNG - Image format, print as photo
  • ZPLII - Thermal printer format (shipping label printers)

Label Includes:

  • Destination address
  • Return address
  • Tracking number
  • Barcode for scanning
  • Carrier branding

Package Tracking

After creating and applying a label:

  1. Mark transaction as "Shipped"
  2. Enter tracking number (auto-filled if you created label through platform)
  3. Buyer sees tracking updates automatically

Tracking Shows:

  • Current status
  • Location
  • Estimated delivery date
  • Scan history

Tracking Updates:

  • Check every few hours automatically
  • Manual refresh available
  • Buyer gets notifications on status changes

Return Labels

For returns under your return policy:

Creating Return Label:

  1. Go to transaction detail
  2. Click Create Return Label
  3. Addresses auto-populate (reversed)
  4. Select carrier and service
  5. Download and send to buyer

Return Label Cost:

  • You pay if "Seller Pays Return Shipping" set in listing
  • Buyer pays if "Buyer Pays Return Shipping" set
  • Cost deducts from refund if buyer pays

Pickup Scheduling

Schedule carrier pickup instead of dropping off packages:

Requirements:

  • Must have shipping labels already created
  • Carrier must offer pickup service in your area
  • Minimum package requirements may apply

Scheduling:

  1. Go to MarketplaceShippingSchedule Pickup
  2. Select carrier
  3. Choose date and time window
  4. Add all packages for pickup
  5. Receive confirmation code

Pickup Window:

  • Usually 4-hour windows
  • Carrier notifies if delayed
  • Leave packages where driver can access

Address Validation

Validate addresses before shipping to avoid delivery issues.

Validating:

  1. Enter address in transaction or label creation
  2. Click Validate Address
  3. System checks with carrier
  4. See validation result

Valid Address:

  • Green checkmark
  • "Address validated successfully"
  • Safe to ship

Invalid Address:

  • Red X
  • Error message explaining issue
  • Fix address before shipping

Common Issues:

  • Incorrect ZIP/postal code
  • Missing apartment/unit number
  • Street name misspelled
  • Non-existent address

Label Refunds

Request refund for unused labels:

Requirements:

  • Label not used (not scanned by carrier)
  • Within refund window (typically 30 days)
  • Original transaction not completed

Process:

  1. Go to transaction with unused label
  2. Click Request Label Refund
  3. Confirm refund request
  4. Refund processes in 3-5 business days

Refund Amount:

  • Full label cost minus carrier processing fee (usually $0.10-$0.50)
  • Returns to payment method used for label

Parcel Templates

Save commonly used package sizes for faster listing creation.

Creating Templates

  1. Go to SettingsShippingParcel Templates
  2. Click Create Template
  3. Enter:
    • Template name (e.g., "Small Box", "Video Game Package")
    • Weight
    • Length, width, height
    • Units (cm/kg or in/lb)
  4. Optionally set as default
  5. Save template

Using Templates

When creating listings:

  1. Click Use Template in shipping section
  2. Select template
  3. Dimensions auto-fill
  4. Adjust if needed for specific item

Managing Templates

Edit:

  • Change dimensions or name
  • Updates don't affect existing listings

Delete:

  • Removes template from list
  • Doesn't affect listings using those dimensions

Set Default:

  • Default template pre-selects when creating listings
  • Only one default allowed

Address Book

Store shipping addresses for faster checkout and returns.

Marketplace Address

Your primary shipping address for marketplace transactions:

  1. Go to SettingsMarketplace
  2. Enter complete address
  3. Validates automatically
  4. Used for:
    • Receiving purchases
    • Return labels
    • Shipping estimates

Multiple Addresses

For trades or multiple ship-to locations:

  • Each transaction prompts for address
  • Can use saved address or enter new one
  • Addresses validate before saving

Address Privacy

Addresses are:

  • Encrypted in database
  • Only visible to parties in transaction
  • Not shown to public
  • Not shared with third parties except carriers

Shipping Fees and Costs

Who Pays What

Buyer Pays:

  • Shipping cost (shown in listing)
  • Any import duties/customs for international (unless DDP)

Seller Pays:

  • Label cost (reimbursed from buyer's shipping payment)
  • Return shipping (if policy says "Seller Pays")
  • Packaging materials

Platform:

  • No shipping fees
  • No markup on carrier rates
  • Direct pass-through pricing

Label Costs

Shipping labels cost the same as carrier's published rates:

  • No platform markup
  • No hidden fees
  • Pay only actual carrier cost

Cost deducts from your marketplace balance when label created.

Tracking and Notifications

Automatic Tracking

When you create a label through the platform:

  • Tracking number links to transaction automatically
  • System checks for updates every few hours
  • Both parties see current status

Manual Tracking

If you ship without platform label:

  1. Enter tracking number in transaction
  2. Select carrier
  3. System fetches tracking info
  4. Updates show to buyer

Tracking Notifications

Buyer receives notifications for:

  • Label created (shipping soon)
  • Picked up by carrier
  • In transit
  • Out for delivery
  • Delivered
  • Delivery exception (delay, incorrect address, etc.)

Seller receives notifications for:

  • Delivery confirmed
  • Return to sender initiated

International Shipping Details

Customs Declarations

Required for shipments crossing borders:

Item Information:

  • Description (be specific: "Vintage Nintendo Game Boy Console")
  • Quantity
  • Value (price paid, not retail value)
  • Country of origin
  • Weight per item
  • HS tariff code (optional but speeds customs)

Declaration Types:

  • Merchandise - Most marketplace sales
  • Gift - Only if actually a gift with no payment
  • Sample - Product samples for business
  • Returned Goods - Previously exported items coming back

Certifying:

  • You certify accuracy of declaration
  • False declarations can result in fines, seizure, or criminal charges
  • Be honest about value and contents

Customs Duties and Taxes

Who Pays:

  • DDU (Delivered Duty Unpaid) - Buyer pays at delivery (default)
  • DDP (Delivered Duty Paid) - Seller pays upfront, included in shipping cost

Amount Varies By:

  • Destination country
  • Item category
  • Declared value
  • Country of origin

Most sellers use DDU to avoid surprise costs.

Prohibited Items

Some items can't ship internationally:

  • Hazardous materials
  • Weapons
  • Live animals
  • Perishables
  • Certain electronics (varies by country)

Check destination country's customs restrictions before listing.

Commercial Invoice

Automatically generated for international shipments:

  • Required by customs
  • Shows item details and values
  • Attaches to package exterior
  • Download from transaction page

Troubleshooting

"No carriers available"

Causes:

  • Platform doesn't have carrier accounts for your country yet
  • Your address not validated
  • System error

Fix:

  • Contact support with your location
  • Verify address in settings
  • Use manual shipping (enter cost, ship on your own, add tracking)

"Invalid address"

Causes:

  • Misspelled street or city
  • Wrong ZIP/postal code
  • Address doesn't exist

Fix:

  • Double-check spelling
  • Verify ZIP matches city/state
  • Try address validation tool
  • Contact buyer to confirm address

"Package dimensions required"

Causes:

  • Listing created without dimensions
  • Dimensions not saved properly

Fix:

  • Edit listing
  • Add weight and dimensions
  • Save changes
  • Rates calculate automatically

"Label creation failed"

Causes:

  • Insufficient marketplace balance
  • Address validation failed
  • Carrier system temporarily down

Fix:

  • Check balance in SettingsPayouts
  • Validate addresses
  • Try again in a few minutes
  • Contact support if persists

"Tracking not updating"

Causes:

  • Carrier hasn't scanned package yet
  • Tracking number entered incorrectly
  • Carrier system delay

  • Wait 24 hours after label creation
  • Verify tracking number correct

  • Manually update if you have info

"Customs held package"

Causes:

  • Additional information needed
  • Duties not paid

FAQ

Does the platform charge shipping fees?

No. All carrier rates are pass-through pricing. You pay the same rate the carrier charges directly. No platform markup or hidden fees.

Can I use my own carrier accounts?

Currently no. Platform uses its Shippo integration for all shipping. This provides you carrier-negotiated rates without needing individual carrier accounts.

What if I want to ship on my own?

You can. Enter shipping cost manually when creating listing. After sale, ship using your preferred method. Enter tracking number manually in transaction.

Do I need a thermal printer?

No. PDF labels print on any standard home or office printer. Thermal printers (label printers) are optional but convenient for high volume.

Can buyers choose shipping speed?

Not currently. You set the shipping method when creating the listing. Buyers see that method and cost. To offer multiple options, create separate listings with different shipping methods.

What happens if package is lost?

Depends on who's responsible:

  • Lost in transit before delivery: Usually seller responsible, issue refund
  • Marked delivered but buyer didn't receive: Buyer files claim with carrier
  • Return lost: Depends on who paid for return shipping

Always use tracking to prove delivery.

Can I offer free shipping?

Yes. Set shipping cost to $0 when creating listing. Build shipping cost into item price instead. Many buyers prefer "free shipping" even if price is same.

How do I handle overweight or oversized items?

Contact carriers directly for freight quotes on very large items (over 150 lbs or 108" combined dimensions). Platform's standard shipping works best for typical collectibles.

Do I need to collect sales tax?

Depends on your location and buyer's location. Platform doesn't collect sales tax automatically. Consult tax professional for your situation. Most peer-to-peer collectible sales don't require tax collection but laws vary.

Can I ship to PO boxes?

Most carriers accept PO boxes. USPS always accepts. UPS/FedEx may not deliver to PO boxes depending on service level. If listing says "No PO Boxes", decline offers with PO box addresses.

What about APO/FPO/DPO addresses?

Military addresses (APO/FPO/DPO) ship via USPS only. Use USPS rates and treat as domestic shipping even if overseas. Delivery takes 1-3 weeks typically.

How do I handle damaged packages?

If you're the seller:

  1. Photograph damage before shipping (package received damaged)
  2. File claim with carrier
  3. Refund buyer or send replacement
  4. Carrier refunds you if claim approved

If you're the buyer:

  1. Photograph damaged package and contents
  2. Contact seller immediately
  3. Don't discard packaging (carrier may inspect)
  4. Seller handles claim process

Can I insure packages?

Some carriers offer insurance. Platform's standard shipping doesn't include insurance. For high-value items, consider:

  • Requiring signature confirmation
  • Adding insurance through carrier
  • Using carriers with better liability coverage

How long do I have to ship?

You set handling time in listing (1-30 days). Most sellers use 3-5 days. Ship within your stated handling time or buyer can request refund.

What if buyer's address is undeliverable?

Package returns to you. Options:

  • Contact buyer for correct address
  • Reship at buyer's expense
  • Issue refund minus restocking fee (if in your policy)

Always validate addresses before shipping to prevent this.

Can I change shipping cost after listing?

Yes, edit the listing. Doesn't affect existing offers. Active offers use original shipping cost.

Do I pay for return shipping on buyer's remorse?

Depends on your return policy:

  • "Buyer Pays Return Shipping" - Buyer pays
  • "Seller Pays Return Shipping" - You pay
  • "No Returns" - No returns accepted
